What Is P2P Procurement?

P2P (procure-to-pay or, sometimes, purchase-to-pay) procurement refers to the process of managing the acquisition of goods and services. It includes the entire procurement lifecycle, from determining the need for a product to processing payments. 

P2P procurement aims to streamline ordering, reduce costs, and ensure compliance and efficiency. The process typically involves collaboration between the procurement, finance, and supplier teams to ensure smooth operations.

Here are the steps involved:

Identify the need

The first stage is identifying the requirement for a product or service. This could arise from a project requirement, a restocking of inventory, or a new business initiative. Identifying the need early provides time to plan for necessary procurement.

Create requisitions

Draft a purchase requisition (PR) form after identifying the need. This is a formal purchase request submitted internally for approval to request specific goods or services. The requisition outlines the quantity, specifications, and preferred suppliers. It ensures that the purchasing process is documented and traceable.

Supplier selection

Supplier selection is a critical step where you assess various suppliers based on specific criteria like price, reliability, quality, and delivery capabilities. Choose the most suitable one according to your business and project needs. You may need to issue specific RFx documents, like RFIs and RFPs.

Creating a purchase order

Create a purchase order (PO) after finalizing a supplier. This document confirms the specifics of the purchase, including product details, pricing, quantities, and delivery terms. It formalizes the buyer-supplier agreement, ensuring mutual understanding before dispatch.

Receiving goods

The purchasing department or warehouse receives the goods or services upon delivery. They inspect the products for quality and quantity against the original order, noting any discrepancies and promptly communicating them to the supplier.

Processing the invoice

After receiving the goods, the supplier issues the invoice. The finance team matches the invoice with the PO and goods receipt note to verify that all the terms are correct. This is a critical part of ensuring that the company only pays for the goods that have been delivered and which are in acceptable condition.

Payment

Once everything is verified, the finance team initiates the payment process. During processing, they make sure the agreed terms and timelines are respected.
